Projects and timesheets: from the task worked to the invoice to the client

Remotjob organizes your company’s service projects: tasks on a board, hours logged by your team, approval by the project lead, cost and margin in view, and a draft invoice with the approved hours. Your team can log hours by typing in their own words; the AI proposes and a person confirms.

Hours worked get lost between spreadsheets and messages

When tasks live in one place, hours in a spreadsheet and the invoice somewhere else, nobody knows what a project really cost or how many hours went unbilled. Remotjob brings the project, its tasks, the hours, the approval and the invoice into one flow, so every hour worked can become an hour billed.

From project to invoice in six steps

One continuous flow inside the platform, without copying data from one tool to another.

  1. 1

    Create the project

Set the client, the lead who will approve hours, the hourly sales rate, the budgeted hours and the dates. Each project gets its own number and starts with a four-stage board.

  2. 2

    Organize the tasks

Drag tasks across the board stages, with subtasks, assignee, due date, priority, estimated hours and comments.

  3. 3

    Log the hours

Each person records their time in a weekly timesheet, with a timer, or by writing in their own words so the AI builds the lines. They are reviewed and confirmed before being saved.

  4. 4

    Submit and approve

Hours move from draft to submitted, and the lead approves them or sends them back with a reason. Nobody approves their own hours.

  5. 5

    See cost and margin

Compare estimated against actual hours, team cost, billable amount and margin for each project, along with its progress.

  6. 6

    Invoice the client

Approved, billable hours are grouped by task or by person and become a draft commercial invoice, ready to issue and collect from the Store.

What is included

Task board

Stages you can rename, subtasks, labels, due dates and comments. Dragging a task to the final stage marks it as done.

My hours

A weekly timesheet and a timer for any team member, with time rounded up and a cap of 24 hours per day. A forgotten timer is flagged for review.

Log with AI

You type “yesterday 3 h on the Acme proposal and 1 h in a design meeting” and the AI proposes lines with project, task, date and hours. It only sees the projects you can see, never invents projects and saves nothing until you confirm. It is the only part that uses AI credits.

Approval with control

The lead approves or rejects with a reason, and nobody approves hours they logged, submitted or edited. If your organization defines it, hours can go through multi-level approvals.

Rates, cost and margin

A cost per hour for each person and a sales rate per project or per person. Remotjob calculates cost, billable amount, margin and progress, and reports hours without a rate separately.

Budget, period close and reminders

A budget in money with email alerts to the lead at 80% and 100%, a period close so old hours cannot be edited, and a weekly reminder to people who left hours unsubmitted.

Invoicing the hours

One invoice per project, or a single one for several projects of the same client and currency. If the invoice is cancelled, the hours go back to unbilled.

Linked to your other modules

From a won CRM opportunity you create the project with the data already filled in, and the invoice lives in the Store with its payments and customer account. What your team records here becomes knowledge: Company Brain, for management, and People Chat, for the team according to their role, return it as answers, for example how many hours a project has taken or how much margin it leaves.

Process map included

The module comes with its own “Process flow” tab showing the full path: what your team does (create, log, approve), what the system does (calculate, apply permissions and invoice) and what the AI does (propose hour lines).

Control over hours, rates and invoices

Hours are money, so every step has an owner, a permission and a record.

  • Role-based permissions: viewing projects, managing them, approving hours, and seeing rates or invoicing are separate permissions.
  • Cost and sales rates are visible only to those who administer or lead the project, or who have billing permission.
  • Each organization sees only its own data: the client cannot access your project or your rates; it receives the invoice.
  • Every hour line keeps its status (draft, submitted, approved, rejected, invoiced) and who created, submitted, edited and approved it.
  • The AI only proposes lines: a person reviews and confirms them, and the AI cannot reach projects you cannot see.
  • Nobody approves their own hours, and the period close prevents editing hours that are already closed.

What it is and what it is not

  • It is service project management with hours, cost and invoicing. It does not yet include a Gantt view, task dependencies or project templates.
  • It does not yet handle fixed price, milestones or advance payments: the invoice comes from approved hours.
  • The invoice is an internal commercial document; the official tax document is still issued in your tax system.
  • Rates are handled in each project’s currency and are not converted between currencies.
  • Cancelling the invoice returns the hours to “to invoice”; a credit note does not return them.

Frequently asked questions

Who can log hours?

Any team member logs their own hours from “My hours”, without needing administration permissions. Those who manage projects and those who approve hours have additional permissions.

How does logging hours with AI work?

You write in your own words what you worked on and the AI proposes lines with project, task, date, hours and description. You correct and confirm them; nothing is saved without your confirmation. It is included in the membership and the AI uses AI credits.

Can I approve my own hours?

No. Whoever logged, submitted or edited a line cannot approve it. Approval is done by the project lead or another person with permission, and can add several levels if your organization defines them.

How are hours invoiced?

Remotjob takes the approved, billable hours that have no invoice yet, groups them by task or by person and creates a draft commercial invoice. You issue and collect it from the Store; the tax document is still issued in your tax system.

Does the client see my project and my rates?

No. Projects and rates belong to your organization and no client can see them. What the client receives is the invoice.
