Sales invoicing and collections: from confirmed order to recorded payment

Remotjob closes the sale from your Store: you confirm the order, issue the invoice, email it to the customer with a PDF and a secure link, record the payment and track every customer’s balance. An AI assistant drafts the payment reminders, and a person on your team reviews and sends them.

Two people review an invoice and a customer’s outstanding balance on a screen to record a payment and collect what is overdue

Selling is half the job: the other half is getting paid

Invoices in a spreadsheet, payments nobody can match to an invoice and late customers discovered too late. Remotjob joins the order, the invoice, the payment and the collection into one flow, with every customer’s balance always in view and the final decision left to a person.

From order to payment in six steps

One continuous flow inside the Store, with no copying data between tools.

  1. 1

    Confirm the order

The accepted quote becomes a confirmed order, with its quantities, prices, discounts and payment terms.

  2. 2

    Issue the invoice

Invoice the whole order or just a part, based on what was delivered or is still pending. Every invoice takes your organization’s own numbering.

  3. 3

    Send it to the customer

The customer receives an email with the invoice as a PDF and a secure link where they see their balance, download the document and find the details to pay by bank transfer.

  4. 4

    Record the payment

Log each payment received and assign it to one or several invoices. If the customer pays only part, the invoice keeps its outstanding balance.

  5. 5

    Collect what is overdue

The collections assistant drafts the reminder in the tone you choose, and your team reviews and sends it. Or let the reminder calendar notify customers for you.

  6. 6

    Review balances and accounting

See receivables by age and each customer’s account statement. Every sale, payment, credit note and return generates its accounting entries.

What is included

Full or partial invoicing and credit notes

Internal invoices with their own numbering, for the whole order or for the pending quantities. For a mistake or a return, a credit note corrects the original invoice.

Payments received and split across invoices

Record each payment and let Remotjob split it across several invoices, the one due first coming first. A partial payment is also recorded, with its remaining balance.

Returns with credit balance

When a customer returns goods that were already paid for, the amount stays as a credit balance you can apply to other invoices.

Receivables and customer account

Debt aging in bands (current, 1-30, 31-60, 61-90 and over 90 days) and each customer’s full movement: invoices, payments, credit notes and balance.

AI collections assistant

AI drafts the reminder for an overdue invoice in a friendly, firm or final-notice tone. A person on your team reviews it, adjusts it and sends it: nothing goes out on its own.

Invoice by email with PDF and secure link

An email template your organization can edit in 6 languages, and a send log with the delivery status of each message. Automatic sending when an invoice is issued is optional.

Automatic payment reminders

Build your collections calendar: days before and after the due date, a cap per invoice and your local time. They stop on their own once the invoice is paid or cancelled, and you can mark a customer as “do not remind”. They come switched off until you turn them on.

Accounting entries and knowledge to decide

Sales, payments, credit notes and returns generate their accounting entries. And what your team records here becomes knowledge that Company Brain (for management) and People Chat (for the team, according to their role) return as answers.

Process map and links to other modules

The module comes with its process map: what your team does, what the system does and what the AI does. It links with Store, Inventory and Finance so the order, the delivery, the invoice and the collection tell the same story.

Control and traceability on every collection

Receivables are sensitive business information. That is why every step is recorded, each person sees only what their role allows and the AI never acts without a person.

  • Role-based permissions: who invoices, who records payments and who only views can be different people.
  • Each organization sees only its own invoices, payments and customers.
  • A log of every send and every change, with its delivery status.
  • The AI only drafts; a person on your team reviews and sends each reminder.
  • The invoice lookup link is secure and shows only that customer’s document.
  • Automatic reminders stop when the invoice is paid, cancelled or paused.

What it is and what it is not

  • It is the internal invoice of your commercial operation. It is not an electronic tax document: that document is still issued in your company’s tax system.
  • The customer pays by bank transfer using the details shown on the link. The link does not currently offer online card payment.
  • The AI drafts reminders; it does not send them or decide whom to chase. Automatic reminders only work if your organization turns them on.
  • It builds on Store sales: without a registered order and customer there is no collections flow.

Frequently asked questions

Does this invoice replace the electronic tax document?

No. It is the internal invoice you operate with: customer, lines, taxes, balance and payments. The tax document is still issued in your company’s tax system.

Can I invoice only part of an order?

Yes. You can invoice the whole order or only the pending quantities, and the order is marked as invoiced once nothing is left to invoice. Every invoice takes your organization’s own numbering.

What does the customer see when they receive the invoice?

They get an email with the PDF attached and a secure link. There they see the balance, download the document and find the bank transfer details to pay. They can pay only part if your organization allows it.

Are reminders sent without my deciding?

Only if you turn on the reminder calendar, which comes switched off. The AI assistant, by contrast, always leaves the text for a person to review and send.

What happens with one payment covering several invoices?

Remotjob splits the payment across the customer’s invoices, the one due first coming first, and updates each balance. If you prefer, you can assign it manually.
