Simple electronic signature: send a document to be signed and keep the evidence

Remotjob lets you send a contract, a quote or an order to be signed without printing or scanning: each signer receives a link by email and signs by drawing or typing their name. When done you get the signed PDF with an audit sheet recording who signed, when and from where. It is a simple electronic signature, not an advanced one.

Printing, signing, scanning and resending leaves no tidy evidence

Chasing signatures by email, printing contracts and scanning them back takes days and leaves loose versions with no way to know who signed what or when. Remotjob brings sending, follow-up, reminders and evidence together in one place, tied to the customer and the document.

From document to signed PDF, in six steps

One continuous flow, with no account needed for your signers.

  1. 1

    Choose the document

Upload a PDF (up to 15 MB and 200 pages), generate one from a Store order or start from a template you already saved.

  2. 2

    Add the signers

Enter each person’s name and email, whether they sign in order or in parallel, the expiry date and how many days between reminders.

  3. 3

    Place the fields

With a click on each page you mark where the signature, initials, name, date or a text goes, for each signer.

  4. 4

    Send the link

Each signer receives an email with a personal link. If they sign in order, the next one receives theirs when it is their turn.

  5. 5

    The signer signs

They see the document with their fields marked, must reach the last page, fill in their details, sign by drawing with a finger or mouse or by typing their name, and accept the simple electronic signature text. They can also decline and give a reason.

  6. 6

    Receive the signed PDF

When everyone has signed, the final PDF is generated with the signatures and an audit sheet. You and the signers can download it, and anyone can later check that the file has not changed.

What is included

From a PDF, an order or a template

Upload your own document, generate the PDF from a Store order with its lines and totals, or reuse a template with the fields already placed.

Signers in order or in parallel

Set the signing order or let everyone sign at once. Whoever’s turn has not come yet is told so by the page.

Fields on each page

Signature, initials, name, date and text, placed on each page of the document and assigned to each signer.

Drawn or typed signature, no account

The signer opens the link from their email, on a phone or a computer, and signs without creating a user or password.

Reminders, expiry and cancellation

Automatic reminders every set number of days, expiry with a notice to the sender and cancellation with a notice to the signers still pending.

Final PDF with audit sheet

It includes the signatures on the document and a sheet with each signer’s email, the date and time of each event, the network address, the browser and the SHA-256 fingerprints of the original document.

Public verification by fingerprint

Anyone can check whether a PDF matches a document signed in Remotjob: the calculation happens in their browser and the answer only says whether it matches, the date and how many people signed, with no names or emails.

Templates

Save an already sent request as a template, or create one straight from a PDF, to repeat contracts and agreements without placing the fields again.

Process map included

The module comes with its own process map: what the team does and what the system does (it does not use AI). It links with the Store, from whose orders you send documents to be signed; with the Customer portal, where customers see their pending signatures; and with My calendar, which shows signatures about to expire.

Tidy evidence, role-based access and an audit trail that is not erased

The value of a simple electronic signature rests on the evidence it leaves. That is why each step is recorded and access to documents is controlled.

  • Role-based permissions: whoever can view and download is not necessarily who can create, send, cancel or manage templates.
  • Each organization sees only its own requests, signers, templates and documents.
  • Documents are kept in a private store and delivered only through short-lived links, after the signer or the permission is verified.
  • The audit log only accepts new events: a request that has been sent cannot be deleted and its history cannot be changed.
  • The final PDF is generated only if the original document has not changed since it was uploaded, and its fingerprint is recorded.
  • What the team records in the module becomes knowledge that Remotjob’s assistants return as answers, according to the role of the person asking.

What it is and what it is not

  • It is a SIMPLE electronic signature. It is not an advanced or qualified electronic signature, it is not certified by an accredited provider, and it is not presented as such.
  • Its evidential value rests on the audit record: the signer’s email, network address, browser, date and time of each event and document fingerprints.
  • It is not suitable for acts the law requires to be signed with an advanced signature or before a notary, such as certain powers of attorney or deeds: for those you need an accredited provider.
  • Today it does not verify the signer’s identity beyond the fact that they receive the link in their email.
  • It accepts PDF documents of up to 15 MB and 200 pages.

Frequently asked questions

What kind of signature is it?

It is a simple electronic signature: in Chile, the “electronic signature” of Law 19.799, and in the European Union, the simple electronic signature of the eIDAS Regulation. It is not an advanced or qualified electronic signature. If a document has special requirements, check with your legal advisor.

What evidence remains of each signature?

An audit record with the signer’s email, network address, browser, the date and time of each event (sent, viewed, signed, declined) and the document fingerprints. It is all included in an audit sheet inside the final PDF.

Do my signers need an account?

No. They receive an email with their personal link, see the document with their fields, sign by drawing or typing their name, and that is it. They can also decline the signature and give a reason.

Can I tell whether a signed PDF was altered?

Yes. On the public verification page you choose the PDF and its fingerprint is calculated in your own browser, without uploading the file. The answer says whether it matches a document signed in Remotjob, the date and how many people signed, without showing names or emails.

What if a signer does not respond?

Remotjob sends them automatic reminders at the intervals you set. If the document expires, the sender is notified, and you can cancel the request at any time, with a notice to the signers who were still pending.
